Your SIA licence renewal is delayed. What are the actual options?

Even a renewal submitted with a healthy lead time — see when to actually start an SIA licence renewal — can still be delayed. Processing volumes fluctuate, and an individual application can be held up for reasons that have nothing to do with how early it was submitted. The question at that point is what a contractor is actually allowed to do while it is outstanding.

Why this is not a judgement call to make internally

This is one of the areas where guessing is genuinely risky, because the rules around whether an officer can continue working while a renewal is outstanding — and under what conditions — are set by the SIA, not by a contractor's own reasonable-sounding interpretation. Current SIA guidance is the only reliable source here, and it is worth checking directly rather than relying on what was allowed the last time a renewal ran late.

What to actually check

  • Whether the specific situation qualifies for any continuation provision, and what evidence is needed to rely on it
  • What documentation needs to be available on site or on request if an officer is relying on such a provision
  • Whether the client needs to be informed, separately from any operational contact, given what the contract itself requires
  • The realistic timeframe for resolution, so cover planning is based on an actual estimate rather than an assumption

None of this should be worked out for the first time when a renewal is already overdue. Knowing where to check, in advance, is what turns a delayed renewal into a manageable situation rather than a live compliance problem discovered under pressure.

Planning cover around the uncertainty

Whatever the answer turns out to be for a specific case, it is worth having a cover plan ready in parallel, on the assumption that the officer may not be able to continue in a licensable role until the renewal clears. That is the same planning discipline as a licence lapsing mid-shift — treat the uncertainty as an operational risk to plan for, not a problem to solve only if it materialises.

Key takeaways

  • A delayed renewal can happen even with a healthy lead time — it is not necessarily a sign anything was done wrong
  • Whether an officer can continue working during a delay is set by current SIA rules, not internal judgement
  • Check what evidence and documentation any continuation provision actually requires
  • Confirm what your client contract requires you to communicate during a delay
  • Have a cover plan ready in parallel, rather than waiting to see how the delay resolves
